Privacy policy
This policy explains how Quantifie Research collects and uses personal data, and the rights you have. We handle personal data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
1. Who we are
Quantifie Research is a trading name of Quantifie LLP, a limited liability partnership registered in England and Wales (number OC458765). Our registered office is 128 City Road, London EC1V 2NX, United Kingdom. For the personal data described in this policy we are the controller.
For anything about your data, email info@quantifie.co.uk with “Privacy Rights Request” in the subject line, or write to us at the address above.
2. Who this policy covers
- Website visitors and people who contact us or request a document through the website.
- Clients and prospective clients, and the people we deal with at those organisations.
- Suppliers and partners we work with.
- Research participants. When you take part in one of our studies we give you a separate notice at the start, explaining that study. This policy sets out the general rules we follow.
3. What we collect and why
| Data | Why we use it | Lawful basis |
|---|---|---|
| Name, work email, company (optional), the service you are interested in and your message, from the enquiry form or an email | To reply to your enquiry and discuss a possible project | Legitimate interests (responding to people who contact us); steps before entering a contract |
| Name, work email, company and optional phone number, from the Panel Book or ESOMAR 37 request form | To send you the document you asked for, follow up on your request and tell you about related research services | Consent (the tick box on the form), which you can withdraw at any time |
| Contact and billing details of client and supplier contacts | To deliver projects, manage the relationship and invoice | Contract; legitimate interests; legal obligation (tax and accounting records) |
| Research responses, and where a study needs it, contact details, demographic details, opinions, audio or video recordings | To carry out the research described to you at the start of the study | Consent, or legitimate interests where the study notice says so. Health or other special category data is only collected with your explicit consent |
| Technical data such as IP address, browser type, the pages requested and the time, recorded in our hosting provider’s server logs | To keep the website secure and working | Legitimate interests (security) |
| When you send a form: a one-way scrambled (hashed) version of your IP address and the time of sending, stored on our web server | To stop automated spam by limiting how many forms one connection can send in 10 minutes | Legitimate interests (security) |
You do not have to give us any personal data. We do need at least your name and email address to reply to an enquiry or send you a document.
We do not sell personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.
4. How we handle research data
- Taking part is voluntary. You can skip questions and stop at any time.
- We tell you at the start what the study is about, how long it takes, whether it is recorded, and any incentive.
- We report results to clients in combined, anonymous form. We do not pass on your identity or identifiable answers without your permission.
- Research data is not used for selling or marketing to you.
- Identifiable data is deleted or anonymised once it is no longer needed for the study (see section 8).
Sometimes we carry out research for a client using contact details the client provides, for example a survey of the client’s own customers. In that case the client is usually the controller of that data and we process it on the client’s instructions under a written agreement. The study notice tells you who is responsible.
5. Marketing
If you ticked the box on our document request form, or you are a contact at a client, we may email you about related research services. Every such email includes a way to opt out, and you can also ask us to stop at any time by emailing info@quantifie.co.uk. We do not share your details with other organisations for their own marketing.
6. Who we share data with
- Service providers who process data for us under contract: Hostinger, which hosts this website and our email; file storage; survey and research platforms; and recruitment partners for studies.
- Professional advisers, such as accountants and lawyers.
- Authorities, where the law requires it.
- Another organisation, if we sell or transfer all or part of our business. The new owner would have to use your data in line with this policy.
- Others, where needed to enforce our agreements or to protect the rights, property or safety of Quantifie Research, our clients or other people.
The website’s fonts, code libraries and video are served from our own website host, so no other service receives your IP address when you view the site.
7. Transfers outside the UK
Some of our service providers store or process data outside the UK, for example in the European Economic Area or the United States. Where this happens we make sure there is an adequacy decision (such as the UK–US data bridge) or another legal safeguard in place, such as the UK International Data Transfer Agreement.
8. How long we keep data
- Enquiries and document requests: up to 2 years after our last contact with you, unless you become a client.
- Client and supplier records: 6 years after the end of the contract, for tax, accounting and legal purposes.
- Research data: identifiable data is deleted or anonymised within 12 months of the end of the project, unless a longer period was agreed with you at the start. Anonymous results may be kept longer.
- Server logs: kept by our hosting provider for a short period for security.
- Spam-protection records (hashed IP addresses): only used for 10 minutes, then deleted automatically the next time the form handler runs.
9. Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you (access);
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to us using your data, including for direct marketing at any time;
- ask for data you gave us to be sent to you or another organisation (portability);
- withdraw your consent at any time, where we rely on consent. This does not affect what we did before you withdrew it.
To use any of these rights, email info@quantifie.co.uk with “Privacy Rights Request” in the subject line. We may ask you to confirm your identity, and if someone asks on your behalf we may ask for proof that they are allowed to. We will reply within one month. If a request is complex, we may need up to two more months, and we will tell you within the first month if so. There is normally no charge. Please do not send us sensitive information, such as health details or bank card numbers, with your request.
10. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113. If you live in the European Union, you can also complain to the data protection authority in your country.
11. Security
We use technical and organisational measures to protect personal data, including access controls, encrypted connections and limiting access to people who need it for their work. No way of sending data over the internet is completely secure, so please do not send sensitive personal data, such as health details, through the website forms.
12. Children
This website and our services are for businesses and are not aimed at children. Research with children is only carried out with the consent of a parent or guardian, as explained in that study’s notice.
13. Cookies
This website does not set cookies or use analytics or advertising tracking. See our cookie policy.
14. Changes to this policy
We may update this policy. The date at the top shows when it was last changed, and we will point out significant changes on this page.
